Why you cannot see an organisation someone added you to

This article explains a common point of confusion in Ringotel: being told you were added to another organization, but not seeing that organization when you sign in. The issue is usually caused by how account access works and by email uniqueness rules.

Short answer: If your email address is already used for your own Ringotel account, it cannot also be added as an administrator on someone else’s account. In that case, the other organization will not appear under your current login.

What is happening

Ringotel separates access by account and by organization. This matters because users often expect all organisations they were “included in” to appear automatically in one place.

  • Account holder: Owns the Ringotel account and has access to billing.

  • Account administrator: Can help manage the account, but must use a unique email address.

  • Organisation administrator: Can manage a specific organization, but must also use a unique email address.

  • Softphone user: Has user-level access for calling features, not administrative visibility across accounts.

If someone creates a separate Ringotel account and organization, that organization belongs to that account. Even if they try to add another person as an admin, the invited email must be unique and cannot already belong to another existing Ringotel account.

Note:

A Ringotel email used for one existing account cannot also be reused as an administrator email on another separate account.

How to fix it

There are two supported ways to resolve this situation.

Option 1: Use a different email address for admin access

This is usually the simplest fix if the existing account still needs to be kept.

  • Create or use another email address that is not already associated with a Ringotel account or an organisation admin.

  • Have the account owner add that email as the appropriate administrator role.

  • Sign in with that admin email to access the correct account and organization.

Tip:

If one person needs access to multiple organisations, create an account admin with the reseller role and an email that is not already tied to a Ringotel account.

Option 2: Delete the unneeded existing account, then re-add the desired email

If the first account was created by mistake and is no longer needed, deleting it can free the email address for reuse.

  1. Sign in to the account that is no longer needed.

  2. Delete all created organisations in that account first.

  3. Then go to Account > Billing and delete the account.

  4. After the deletion is complete, have the owner of the correct account add that email as an administrator.

Caution:

Only delete an account if you are sure its organisation, users, and configuration are no longer needed.

FAQ

Why was I told I was added, but I still cannot see the organization?

Most often, your email is already associated with another Ringotel account. Because admin emails must be unique across accounts, the expected access does not become visible under your current login.

Can I use the same email on my own account and as an admin on someone else’s account?

No. If the email already belongs to an existing Ringotel account, it cannot also be reused as an administrator email on another separate account.

If I only need to help with technical setup, what should I ask for?

Ask the account owner to add you with the correct administrator role using a unique email address. If you only need end-user calling access, ask to be added as a user instead.
